How guest sign-up works is up to you — run it yourself, or we’ll build a dedicated sign-up page on theprojectcrew.sg. Either way, we configure branding, dietary options, and any breakout sessions ahead of time.

Guests Get Their QR

Each guest gets a unique QR code, however you want it distributed — usually by email, or printed directly on physical invitation cards for you to distribute.

Check In (and Print, If You Need Badges)

They show their QR, staff scans it, and the welcome screen reveals their name instantly. One tap prints their badge if your event uses one. Dinners and simpler events often stop right here.

Sessions, If You Have Them

No — everything runs in a web browser on your team’s devices. Guests just show their QR code; they never need to install or open anything themselves.

Can it handle multiple sessions or breakout rooms?

Yes — capacity limits per session, and staff rescan each guest’s existing badge at every room’s door, so there’s no separate ticket to manage per session.

Does it print badges automatically?

Almost — staff tap once to print after each scan rather than it happening fully automatically. That’s deliberate: it avoids double-printing on a duplicate or accidental scan, and gives staff a beat to catch anything unusual before it prints.

What if a guest doesn’t have their QR code handy?

Not a problem — staff can search and check them in by name directly, no QR needed. Useful for walk-ins or anyone who missed the email.

What if the venue wifi is unreliable?

Worth being upfront here: unlike a passive display, check-in needs a working connection to record arrivals in real time and prevent duplicate scans across multiple counters. We always plan connectivity as part of setup — backup mobile hotspot, wired connections where possible — so this gets sorted before your event, not discovered on the day.
